Privacy Policy

General Torchbearers United is obliged to maintain effective administrative and records management systems. This involves retaining customers' records. All staff must be scrupulous in using customers' information only for the purposes for which it was gathered.  Privacy Act 1988 Torchbearers United abides by the Privacy Act 1988 (Commonwealth) and the Australian Privacy Principles (APPs) and keeps customer information private. It only collects information related to a customer's training or business and takes all reasonable steps to protect personal information from misuse, loss, unauthorised access, modification, or disclosure, including restricted access to electronic files, secure storage of paper files, and data backup.  Access to customer records

Unless necessary, information about customers’ records can be divulged to a third party only with the customer's written consent. Torchbearers United is required to be fully transparent about the use of records stored. Torchbearers United will only disclose information about clients where required by law. These people or organisations are: • Clients Authorised representatives or legal advisors • Government and Statutory Authorities, where required by law.

Personal Information Information held by Torchbearers United about customers could include: • Customers name • Current & previous address • Telephone numbers • Email address • Driver’s license number • Bank account details • Counselling or intervention strategies • File notes

Torchbearers United takes all reasonable steps to ensure that the information Torchbearers United holds, uses, and, where appropriate, discloses to others about a customer is correct and current. The accuracy of this information depends largely upon the customer providing current, up-to-date details for their: • Current address • Telephone numbers • Email Address Authorisation to Release Customers Information Form If a customer's employer or Government agency requests student information, the student will be asked to supply an Authorisation to Release Customer Information Form. The customer will sign this to authorise the release of specific personal data.

Customer Contact for Privacy Issues If customers have concerns about personal information held by Torchbearers United, they are advised via the Torchbearers United website to contact Torchbearers United with specifics on their situation. Torchbearers United will comply with the ten national privacy principles in handling the personal information of customers, trainees and employees. Collection - Torchbearers United will collect only the information necessary for one or more functions. The individual will be told the purposes for which the data is collected.

Use and disclosure - Personal information will not be used or disclosed for a secondary purpose unless the individual has consented, or a prescribed exception applies.

Data quality—Torchbearers United will take all reasonable steps to ensure that the personal information it collects, uses, or discloses is accurate, complete, and up to date.

Data Security - Torchbearers United will take all reasonable steps to protect the personal information it holds from misuse and loss and unauthorised access, modification or disclosure.

Openness—Torchbearers United will document how it manages personal information and, when asked by an individual, will explain the information it holds, for what purpose, and how it collects, holds, uses, and discloses the information.

Access and correction - The individual will be given access to the information held except to the extent prescribed exceptions apply. Torchbearers United will correct and update information errors described by the individual.

Unique Identifiers—Commonwealth Government identifiers (e.g., Medicare number, or tax file number) will only be used for the purposes for which they were issued. Torchbearers United will not assign unique identifiers except where necessary to carry out its functions efficiently.

Anonymity—Wherever possible, Torchbearers United will allow individuals to interact with them without identifying themselves.

Transborder Data Flows - The individual's privacy protections apply to transferring personal information out of Australia.

Sensitive Information—Torchbearers United will seek the individual's consent when collecting sensitive information about the individual, such as health information, information about the individual's racial or ethnic background, or criminal record.

Destruction of Records Torchbearers United will retain records as required. n. All other records are subject to destruction within 6-12 months following graduation. Hard copy items are destroyed bi-annually through a third-party document destruction service.

Certificates of destruction are retained in the relevant Compliance systems and folders.

Artificial Intelligence: Torchbearers will uphold a human-led organisation with AI tools to check spelling and grammar only. Torchbearers United believes in the strength of free choice in creativity and encourages the growth of mind in every part of our business.
